5 reasons to register to the Congress

Be exposed to the entire breadth of the gene therapy and stem cell research field. Learning about the advances and breakthroughs in other focuses of study can translate to new approaches for your own lab’s work that you may not think to explore without this exposure. ESGCT is the best place to gain a broad perspective on the field.

Bring information and training back to the lab. Findings presented at the conference can be shared with other lab and team members to extend the benefits of attending to your entire research group.

Learn about the newest data and tools from the poster sessions and the exhibition. Labs save time and money by improving their research methods. New tools and technologies are unveiled to attendees of ESGCT annual meeting.

REGISTRATION GUIDELINES

All registrations are discounted as early-bird registrations up to and including 6th July 2019. Payment for early bird invoices are due within 2 weeks of invoice date. Early bird invoices that are left unpaid by the 31st July will be changed to the higher congress registration rate. Registration is in English, and the congress currency is EURO €.

Payment by card is preferred and will ensure your registration is activated immediately.

Abstracts can be submitted once your congress registration is complete; you will be able to submit your abstract as part of the congress registration process.

REGISTRATION: FEES & FINANCIALS

Payment of your congress registration fee entitles you to the following:

- Participation at all scientific sessions
- Access to poster exhibitions
- Congress bag and materials including Full Scientific Programme
- Daily coffee breaks and lunch, welcome and closing / award ceremonies

Generous sponsorship enables us to keep the registration rates well below the market norm, and heavily subsidise student fees.

STUDENT MEMBERSHIP OFFER

The congress is pleased to be able to offer complimentary ESGCT society membership to students registering for the Congress.

Please note that this offer has no exchangeable cash value; refunds will not be given on any existing society memberships. For the current 2019 congress year, please use discount code Student19 to reduce your membership fee due to ZERO.
 

PAYMENT GUIDELINES

Payment by credit or debit card is preferred; our payment services are handled by STRIPE. Please note that you do NOT need to have an account with STRIPE in order to use this service.

Payments by bank transfer must be received within 2 weeks of your invoice date.

Early-bird registrations must be paid in full at the very latest by 21st July, otherwise they will be bumped up to the regular congress rate. All unpaid registrations for which correspondence has not been received by the 1st October will be deleted.

REFUNDS
We will refund as follows:

  1. for cancellations received by July 6th: 95% refund

  2. for cancellations received by July 31st: 80% refund

  3. for cancellations received by August 31st: 50% refund

  4. for cancellations received by September 30th: 25% refund, 'Molecular Mingle' tickets are non-refundable

  5. for cancellations received after this date: NO REFUND

Refund / cancellation requests must be sent in writing. Where possible refunds will be processed within 3 weeks of receipt; however based on timing and congress workload, refunds may not be processed until after the congress.

INVOICING

Invoices are available through your profile on the ESGCT website. PLEASE NOTE that no separate invoices will be created / sent by the congress office.

Once payment has been received you will be sent a payment confirmation email.

Registration information & cancellation policy

Abstracts Submission Guidelines

YOU NEED TO HAVE REGISTERED TO THE CONGRESS IN ORDER TO BE ABLE TO SUBMIT AN ABSTRACT.

More than 50% of the programme is dedicated to selected abstracts because we want to ensure that the best and most current research is presented. A large panel of international moderators reviews abstracts so that every abstract receives at least 3 reviewer scores.

Abstract submission guidelines: Make sure your abstract is in, on time and in the right format by following these simple steps:

1: Your abstract should be no more than 250 words and should be in British English.

2: Abstracts should be continuous text and not split up into subheadings such as "introduction, methods, results"

3: Keep your title concise and informative and only use capital letters for the beginning of a sentence or an acronym/name. DO NOT USE CAPITAL LETTERS FOR YOUR ENTIRE TITLE.

4: All authors’ names should be listed in full and a presenting author should be identified. Please note the email address supplied when you submit your abstract will be used for all correspondence pertaining to the abstract.

5: Names should be listed as initials and surname. Only the first letter of the surname should be capitalised, not the full surname (i.e. Smith, not SMITH)

6: Addresses should be in the following format: Group, Department/Institute, Organisation, Town/City,

7: Do not include acknowledgements or references in your abstracts – these will be included in your word count.

8: Select the subject area that best fits your abstract as this is a guide for review allocation.

9: Please ensure that the email provided when submitting the abstract will still be valid in early-September when the abstract notification is emailed.

Poster Guidelines

Posters should be made in a single A0 size (841mm wide x 1189mm high), portrait orientation. If your poster does not match these dimensions we cannot guarantee that it will fit the poster boards. Each poster will be allocated a number with your notification that you must bring with you.

What happens after you have submitted?

Your abstract will be sent for review and you will be notified of the outcome by email in mid September. Please note the notification email will be sent to the email given when you submitted your abstract. If you have not received notification by the end of September please contact the ESGCT Office immediately

PLEASE NOTE that all submitting authors will have to have read and agreed to the Abstract Submission Agreement prior to submission.

As a current sponsor or exhibitor of our congress, you are entitled to a number of free registrations to the congress as well as reduced fees for additional members of your team, please see your contract for confirmation of amount of free registrations, and your invoice for the discount code to use for the free and discounted registrations. PLEASE NOTE that the discounts are available on member rate registrations ONLY. 

IMPORTANT: please note you will need to have made your complimentary registrations by the 15th of September; after this your places WILL NOT be guaranteed.

Accommodation for Invited Speakers and Delegates

The congress organisation itself does not manage any accommodation issues, however we are pleased to have appointed an agent who will work with you to arrange your accommodation.

Our appointed agent for accommodation and local tours is MCO International.

Please note that they will manage Invited Speaker as well as delegate accommodation, and payment and any queries will be managed by MCO International.
